Scarlett Music Tools Privacy Policy
Last updated: 12 October 2026
Who operates the app
Scarlett Music Tools is operated by The Trustee for SCARLETT FAMILY TRUST, trading as Scarlett Music ("Scarlett Music", "we", "us" or "our").
This policy describes how information is handled when authorised staff use Scarlett Music Tools for company picking, inventory and related operational work.
Information handled by the app
The app uses information from your existing Scarlett Music staff account and the company's operational systems. Depending on the processes you use, this includes:
- Staff account information: your staff name, username, account identifier, permissions and work assignments.
- Authentication information: the password you enter to sign in and the session credentials used to authorise requests to company services.
- Operational information: product and order references, picking quantities and statuses, product barcodes, stock storage locations, notes, saved preferences and the changes you submit.
- Activity and audit information: the staff account associated with a change, its time and identifiers, synchronisation results and records needed to reconcile or investigate operational changes.
- Technical information: session and connection information used for authentication, security and troubleshooting. The company services and their network or hosting providers may also process IP addresses and request metadata when delivering and protecting those services.
A product's storage location describes where stock is kept. The app does not request the geographical location of your iPhone or iPad.
How information is used
We use this information to authenticate staff, apply access permissions, provide picking lists and inventory tools, record and synchronise work, maintain operational traceability, remember work preferences, investigate errors and protect company services.
The app is not used to display advertising or track staff across other companies' apps and websites for advertising purposes.
Device storage and security
The app communicates with company services using HTTPS. Session credentials are stored using Apple's Keychain. If you choose to remember a password, it is also stored using Apple's Keychain on that device. You can use the app's Forget Password control to remove a remembered password.
Downloaded lists, catalogue information, product images, work preferences and pending changes may be stored on the device so that previously downloaded work can remain available during network interruptions. Signing out does not necessarily erase downloaded operational records.
If you export a session backup, the exported file contains operational data and is stored or shared using the destination you select.
Who can access information
Information is available to authorised Scarlett Music staff and is processed by the company's connected inventory, order and authentication systems as needed for the work being performed. Service providers that host, secure, deliver or support these systems may process information for those purposes. Information may also be disclosed where required by law.
Service providers processing app information on our behalf must use it only for authorised purposes and provide protection at least equivalent to the protections described in this policy.
Some service providers may process information outside Australia, depending on the services and infrastructure used.
Retention
We retain company records for as long as needed for operational continuity, audit and reconciliation, security, support and applicable legal requirements. Disabling a staff account does not automatically remove the history of work performed using that account.
Downloaded data and pending work remain on the device until removed through the app's available controls or removal of the app. Remembered passwords should be removed using Forget Password; uninstalling the app alone should not be relied on to remove Keychain entries.
Access, corrections and deletion requests
Contact Scarlett Music if you need help accessing or correcting information, changing staff access, removing remembered credentials or requesting deletion of information. Requests involving company operational records will be considered alongside requirements to preserve accurate business and audit history.
You can stop using the app and contact us to request that staff access be disabled. Remembering a password is optional; you can turn off that option and use Forget Password to remove a previously remembered password. If you wish to withdraw permission for an optional use of your information or request deletion, contact us using the details below. We will explain any records that must be retained and why.
Contact
Privacy and app support enquiries can be sent to info@scarlettmusic.com.au. You can also use our contact page.
Information you provide in a support request, such as your name, email address and message, will be used to respond to and manage that request.
Updates to this policy
We may update this policy as the app or company services change. The current version will be available on the app's privacy-policy page with its update date.
